General Description: Under the supervision of the Director of Program Control and State and Set Aside Programs, the Program Control Assistant is responsible for performing a variety of data entry, verification and clerical tasks associated with the Program Control Division of the Leased Housing Division. Responsible for the clerical check of tenant cases prior to final contract signing and data into the Computer. Records and Compiles basic information concerning the packets and prepares statistical reports accordingly; performs certification of income and eligibility for Leased Housing applicants and participants; responsible for the EDP input of demographic and financial data concerning leased housing applicants, tenants, and units and the production of rent checks.
Duties & Responsibilities: - Verifies that all relevant forms are complete and included in the tenant file.
- Checks for proof of income, deductions and family composition in each file and compares it with data recorded on forms within the file. Verifies the accuracy of all calculations made within the tenant file.
- Verifies that the family has been assigned the correct apartment size, eligibility status, etc. and that the correct utility allowances have been used.
- Checks for additional documentation and approvals where exceptional rents or other exceptions are noted.
- Verifies that all documents are signed by landlord, tenant, Leasing Officer, Inspector, and others, as appropriate.
- Inputs new files into the existing EDP system for all leased housing programs.
- Changes and deletes information in the system as needed.
- Performs basic electronic verification of the data entered.
- Maintains agent/owner and tenant data on property under lease.
- Coordinates with other staff to assure accurate payments on new leases and for retroactive rent adjustments.
- Maintains manuals files back up to the EDP systems; responds to immediate information of Leasing Officer, Inspectors, and other staff.
- Performs other related duties as required.
Minimum Qualifications & Experience: Bachelor’s Degree in the social sciences plus at least two years of direct experience in housing management, social work, social security administration or a related field. Must posses the ability to make accurate computations. Must have solid working knowledge of Leased Housing Program structure and requirements, must posses good typing skills. Ability to deal with people of diverse cultural backgrounds. Relevant experience may be substituted for the education requirements.
